Because you can setup and manage a unique set of Room allocations and Rate Plans to each Agent Channel, we refer to this as an Agent Relationship. Examples of Agents Channels include the frontdesk, website, buuteeq, GDS, Booking.com and other online travel agents.

All Agent Channels are listed and managed in SETUP | RELATIONSHIPS | AGENT RELATIONSHIPS.

To View all agents currently able to sell for your property, click Agent Relationships

From the Agent Relationship screen you can see Agent details including: AgentID, Agent Name, Number of Rooms Allocated, Commission percentage and Rate Loading percentage.


To see what rooms are allocated to an agent, or to allocate additional rates click on the blue link under Rooms Allocated for that agent. In the example below we have 100% of our rooms allocated to the MyPMS agent at the rack rate for each room type.

 

To manage rooms and rates to your Front Desk, Website, GDS or OTA in MyPMS, you have three choices.

  • A wholesale agent that buys at an entirely different rate,
  • Websites that are do not see all Room Types,
  • Prices are adjusted up or down to reflect commissions


Click Agent Id to view contact details for agents.

To manage rooms and rates to your Front Desk, GDS or website from MyPMS, you have three choices.

1. Agent Allocations: Go to Setup | Relationships |Agent Relationships

Use the 'allocation' method to allocate a % of your rooms, at specific Rates, to each Agent. See Add  Agent Allocations.

  • Room Type and Rate allocations can be customized to each agent, however there are three agents that MUST have all ROOM TYPES allocated.
  • These 3 Agents are: MyPMS (front desk users), BC (website), and WR (Global Booking Network). See below for details on how to manage each.
    • Agent MyPMS (The rooms and rates that your logged in users 'see' when using MyPMS):
    • Agent WR (The Global Booking Network) and stop sending all rooms, or send unique rates through distribution:
    • Agent BC is the channel that is distributing rooms to your Booking Engine.

Notice, this technique allocates these Rooms for ALL DATES, so proceed warily, as if you forget to turn it back on again, you may be removed from various travel sites when, in fact, you have rooms available. Rate Loading is a simple way to adjust the prices paid by guests for a specific agent.

To see Room Type and Rate allocations to this channel, click on the number of rooms shown in the the column labeled Room Allocated. For example 26 of 32.

  • You will then see a list of the Room Types and Rate Plans allocated. At this point you can modify the % allocation of each Room Type, Add a Room Type or delete a Room Type.
    • To add an allocation: Click on Add and choose a Room Type from the dropdown list. A dropdown list will appear with a list of Rate Plans to associate with the Room Type. Choose the % of allocation and click Save.
    • To Delete and allocation: Click the Delete button on the Room Type you wish to delete.
    • To adjust the % of Room Types allocated: enter a new # in the field and click Modify.



To adjust Room Type allocations for specific agents, go to Agent Allocations. Page down to the Agent that you want to adjust. Set the number of Rooms Allocated for each Room Type and click Update to save changes.
